Role Overview:
We are seeking a highly poised, articulate, and exceptionally organized Executive & Personal Assistant (PA) to provide comprehensive, 1/1 support to our Executive Director. This dual-capacity role requires a seamless blend of professional executive support and personal assistance.
The ideal candidate will serve as the Executive Director's gatekeeper and trusted confidante, managing corporate operations and personal logistics with discretion, efficiency, and sophistication.
Key Responsibilities.
Executive & Business Support:
- Calendar & Meeting Management: Manage and optimize the Executive Director’s daily schedule, anticipating conflicts and prioritizing high-value engagements.
- Correspondence: Draft, edit, and review high-level emails, reports, and presentations. Act as the primary point of contact for internal and external stakeholders, including diplomatic partners, NGOs, sponsors, and internal festival departments (Marketing, Guest Relations, Operations).
- Corporate Travel: Coordinate complex international and domestic business itineraries, including flights, visas, ground transportation, and luxury accommodations.
Personal Assistance & Lifestyle Management:
- Personal Logistics: Oversee personal schedules, family obligations, private appointments, and lifestyle management duties.
- Travel & Accommodation: Handle all personal travel arrangements, holiday bookings, and accommodation logistics, ensuring a seamless experience.
- Errands & Special Projects: Manage ad-hoc personal requests, event planning, and gifting. Provide high-level administrative support on sensitive, VVIP festival logistics, including international talent accommodation tracking, high-profile guestlists, and ceremonial seating arrangements.
Candidate Profile & Requirements.
Experience & Technical Skills:
- Experience: Minimum of 5+ years of proven experience as a Personal Assistant or Executive Assistant supporting C-suite executives or high-net-worth individuals (HNWIs).
- Language Fluency: Near-native or fluent written and spoken English is mandatory. Arabic or additional languages are a strong asset.
- Tech Savviness: High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and calendar management tools.
Appearance, Demeanor & Availability:
- Presentability & Image: Exceptional personal presentation, grooming, and professional etiquette. You will be representing the Executive Director in high-profile settings.
- High Flexibility & Mobility: Must possess the ability and willingness to travel frequently at short notice, both domestically and internationally.
- Availability: Due to the 24/7 nature of high-level personal assistance, the ideal candidate possesses complete schedule flexibility, free from restrictive personal or familial ties that would limit spontaneous travel or extended working hours.
